Vendor FAQ

How big are the vendor spaces?

Each space is 10’ x 10’.  It may be possible to purchase multiple booths and utilize them together.  Especially to maintain emergency access lanes and pedestrian right-of-way, vendors shall not construct or place any materials that extends beyond the allotted space.  Canvassing attendees must be contained to the space immediately in front of or near your booth.

Vendors may share booth space provided all businesses/organizations are included in the application.

How much does a vendor space cost?

Regular spaces cost $250, although discounts may be available for non-profit organizations or for purchasing multiple spaces.  That fee covers your 10’ x 10’ square of pavement.  Vendors may also rent tables, chairs, and/or canopies through Bearrison for an additional fee.  Vendors are responsible for all insurance and resale permits.

New for 2022, we are allowing food vendors!  Due to the additional permitting costs, these will cost $750, although discounts may be available for those purchasing multiple spaces.  That fee covers your 10’ x 10’ square of pavement.  Vendors may also rent tables, chairs, and/or canopies through Bearrison for an additional fee.  Vendors are responsible for all insurance, resale permits, and applicable food permits.  There are strict city guidelines governing food at street fairs, such as a ban on bottled war and the materials for plates and cutlery.  Bearrison will work to make sure that you are aware of the restrictions, but the ultimately responsibility will remain on the vendor to follow all city guidelines.

What sort of vendors can apply?

Anyone and everyone!  Bearrison is committed to embodying a more supportive, welcoming, and culturally competent bear scene. We are excited to partner with businesses owned (or organizations led) by BIPOC, women/womyn, and enby/GNC people.  If you have an idea for something that will positively add to our environment, even if it doesn’t seem like a traditional “vendor”, please apply and share your vision!

New for 2022, we are moving forward with adding food vendors, so please apply if you are interested in selling food!

What can/can’t be done in a booth space?

Honestly, the restrictions are few.  However, we do require that:

  • There are no generators or amplified sound equipment, including but not limited to stereos, loudspeakers, and bullhorns.  This is because Bearrison has a specific sound permit for our event and it doesn’t include vendors!

  • There will be no electricity.  (But anything that runs on batteries or other non-generator power is fine!)

  • All shared spaces will include all businesses or organizations as part of the application.

  • Other than food vendors, regular vendors will not sell or give away any food or drink items. Again, Bearrison has specific food and beverage permits which do not include the general vendors.

  • Vendors will follow all city, state, and federal laws.  You are responsible for being aware of these, not Bearrison.

What is the time schedule for vendors?

Vendors will be allowed to enter the footprint starting at 8am. Vehicles must be completely removed from the footprint by 11am, and there is no guarantee of parking for the day. The fair runs from 12-6pm. After the fair ends, SFPD is the final authority on when it’s safe for vehicles to re-enter the fair, but that will hopefully be around 7pm.

What is the process for refunds?

If accepted as a vendor, you can cancel your participation up to 30 days before the fair (by the end of the day on September 15) for a 100% refund on all fees and rentals.  Up until 7 days before the fair (by the end of the day on October 8) you can receive a 50% refund on fees (not rentals), and we thank you for your donation of the remainder of your payment.  After October 8, we will be saddened to not see you at the fair but thank you for your donation of your payments.

Bearrison reserves the right to use any paid-for but unoccupied or vacant vendor spaces as we desire.
